Job Description :
An opportunity has arisen for a self-motivated and enthusiastic Assistant to the Practice Director of a law firm in Merseyside.

With supervision from Practice Director, duties and responsibilities include:

* Handling initial Practice Management issues and enquires.
* Interpreting, assisting and advising employees on Practice Management procedures and policies within the specified guidelines.
* Supporting the Practice Director on grievance and disciplinary casework, ensuring the implementation of policy, legislation and best practice.
* Assisting with training, planning and delivering appropriate training, including inductions for new staff.
* Assisting with employee safety, welfare, wellness and health.
* Assisting with developing Practice Management planning strategies, systems and practices.
* Assisting with management of audits pertinent to the Practice Management Department.
* Assisting with the coordination of work of contractors.
* Establishing, creating, maintaining and controlling all personnel details, recruitment details, all records including minutes of meetings, all files, correspondence, reports, organisation charts, holidays, sickness, absence, training records, appraisals and equality monitoring.
* Recruitment administration.
* Assisting with planning and utilisation of space and resources.
* Assisting with ensuring that internal and external mail is distributed effectively.
* Assisting with liaising with engineers and IT Department when required to do so, in order to ensure their efficient operation of photocopiers, franking machines etc.
* Assisting with monitoring of stock levels of all consumable items, informing the IT department when orders need to be placed for additional items.
* Assisting with management of property matters including renovation, decoration and interior design.
* Assisting with co-ordination of any moves within the office.
* Assisting with essential central services such as furniture, stationery, reception, security, maintenance, mail/postage, archiving, cleaning, catering, waste disposal and recycling and any other sundries.
* Supervision of shredding areas and arranging shredding to be completed on a regular basis to ensure the offices are kept neat and tidy.
* Assisting with monitoring of timekeeping for all staff and providing a weekly report to the Practice Director.
* Travelling between all offices for any Practice Management duties required.
* Assisting with employee safety, welfare, wellness and health.
* Assisting with the business continuity plan.

To be considered for this excellent opportunity, the attributes required are:

* Previous Personal Assistant, Human Resources or Facilities experience preferably within a legal services environment.
* Proven supervisory skills of administrative staff, e.g. office assistants, receptionists and couriers.
* Motivated, enthusiastic and take a proactive approach to work.
* Ability to create positive working relationships.
* Ability to use own initiative with a `can-do` attitude and positive approach.
* Ability to motivate and empower others to reach their goals.
* Excellent IT and administrative skills.
* High levels of attention to detail.
* Ability to form good relationships with colleagues, customers and suppliers and to work as part of an effective team.
* Excellent communication skills, both oral and written.
* Well presented, punctual, confident, friendly, helpful and self-motivated.
* Flexible in your working approach with the ability to multi-task and prioritise workloads.
* Exceptional interpersonal and communication skills, especially the ability to communicate effectively with a wide range of people.
* Well organised, with a clear and professional manner.
